Protecting Saved Data

When access to the Administrator Setting mode by the Administrator of the
machine is authenticated, the machine enables the operation for setting and
changing the HDD Lock Password and Management Data Encryption Key. It
also enables the operation for setting and changing the Image Data Encryp-
tion Key when the optional Security Kit SC-501 is mounted.

Should the HDD be removed unawares, the HDD Lock Password locks the
HDD protecting data contained in the HDD. In addition, setting the Manage-
ment Data Encryption Key encrypts Administrator Passwords, Password
Rules setting, SNMP Passwords, network setting, and other data on flash
memory. Data can therefore be protected even if the flash memory is stolen.
In addition, setting the Image Data Encryption Key encrypts image data reg-
istered through Secure Print and that stored in Boxes, thus protecting the
data.

With Enhanced Security turned ON, it is not possible to cancel the HDD Lock
Password, Management Data Encryption Key, and Image Data Encryption
Key.

To protect data in the HDD, be sure to set the HDD Lock Password or Image
Data Encryption Key or Management Data Encryption Key.

Do not set any number that can easily be guessed from birthdays, em-
ployee identification numbers, and the like for the HDD Lock Password,
Image Data Encryption Key and Management Data Encryption Key.

Change the HDD Lock Password and Management Data Encryption Key
at regular intervals.

It is also recommended that the Image Data Encryption Key be changed
at regular intervals; however, changing the Image Data Encryption Key
results in a mismatch between the previously set encryption key and the
newly set one. Be sure, therefore, to execute HDD Format whenever the
Image Data Encryption Key has been changed. For this reason, it is rec-
ommended that important data be saved in a backup medium in ad-
vance. The setting values of various functions are also reset to the default
values. For the functions whose settings are reset to the default values,
see “Items cleared by HDD Format” on page 2-11.

Make sure that nobody but the Administrator of the machine comes to
know the HDD Lock Password or Image Data Encryption Key or Manage-
ment Data Encryption Key.
