Adding an
Item to the
Database

New items are added to the database at the Item Data form. To add an item
to the database, please refer to the steps below.

Warning: When entering data in the application, DO NOT USE special
characters or quotes with the exception of dashes, dots and spaces. Except
for dashes, dots, and spaces, if you use special characters or quotes when
entering data in the application, the database will become corrupted. For
more information, please refer to

“Precautions When Entering Data” on

page 24

1.

Click the Add button found at the bottom of the Item Data form to
place the form in Add mode. The cursor is placed in the Item # field.

2.

Enter the item number in the Item # field. Press the Tab key on the
keyboard to advance to the Alt No field.

3.

If you have an alternate item number, enter it in the Alt No field.
(Using an alternate item number is optional). Press the Tab key on the
keyboard to advance to the Desc field.

4.

Enter the item description in the Desc field, if applicable. Press the Tab
key on the keyboard to advance to the Category field.

5.

Click the drop-down arrow in the Category field and select the item
category from the list that appears. If the category is not in the list,
enter the category in this field. A message box appears, notifying you
that the category does not exist, and asking you if you want to enter it
into the system. Click Yes to add the category to the Categories
Lookup table.

Click the <Tab> key to advance to the Track Cost option.

If you are using Cost Tracking and want to track the unit cost for this
item, mark the Track Cost check box to track this item’s cost. Please
note that Cost Tracking must be enabled in the System Options
form\Options tab. Click the <Tab> key to advance to the Item Type
option. The cost tracking option (average, last cost, highest cost, least
cost) is also selected in the System Options form\Options tab. When
you enable cost tracking for this item, the system will track the unit cost
upon receipt of this item.

8.

Click the Save button to save the new item record.

Adding a
Picture of the
Item

If you enabled the Pictures option in the Setup/Options form, you are able
to link an image file of the item to the item number in the Item Data form.
The image file must be a supported image file type (.wmf, .emf, .dib, .bmp,
.ico, .BMP, .EPS, .GIF, .JPG, .PCT, .PNG, .WMF) in order to import it into
the application. The Stockroom application directory (Program
