Appendix B - Searching for assets stored on the XMS

Performing a standard search

Standard search mode retrieves assets from your system using basic asset properties that
are set when the asset is created or ingested, like the asset’s name, keywords, type of
asset, among others. The standard search mode is effective for retrieving the majority of
assets, and is therefore highly recommended in most circumstances. An advanced search
mode is also available, which uses the asset’s searchable metadata properties when
executing a query. Metadata properties are sophisticated identifiers that are mainly used by
press and other media agencies to identify and archive assets. Not all assets on your
system have metadata properties, or metadata properties that are complete, so it is
recommended to use the advanced mode only in particular cases.

How you define your standard search criteria often depends upon what information you
have about the assets that you are looking for, and how broad or narrow you want the scope
of your search to be. As such, it is impossible to describe one way of performing a standard
search for assets. The procedure below describes a generic workflow for performing a
standard search. Additional information and instructions for using the standard search fields
is available in

“Standard search criteria fields and controls” on page 7-4

.

To perform a standard search mode query:
1.

With the Search tool open and the Standard tab selected, define your search criteria
parameters by selecting and setting the search criteria fields.

2.

Once the appropriate search fields are set, click the S

EARCH

button to launch the

search.
The search’s progress status and results summary appears in the message area. As
well, the results of the search are listed/displayed in the Results area.

Browse through the results and locate the desired asset(s).
In detailed view mode, you can sort the results table by selecting the appropriate
column heading.
When you select an asset in the Results area, additional information about the asset is
displayed in the message area above the Results area.

Once you have located an desired asset, there are several things that you can do, but
they depend on the type of asset and the view mode of the Results area:
• You can open certain assets by double-clicking the asset’s listing/thumbnail in

the Results area. See

“Results area” on page 7-19

for more information.

• When the Results area is in Proxy view mode, you can drag-and-drop some

asset types from the Results area to your canvas. See

“Results area” on page

7-19

for more information.

• You can use the location, type, and name information from the Results area

to locate the asset in the Asset Browser.

If the search tool did not find the asset(s) that you were looking for, then return to step 1 and
redefine your search criteria. If the asset(s) that you desire have metadata properties,
perhaps use the advanced search mode to find the asset(s) using metadata properties.
