Restricting Use of the Fax

Restricting Fax Operation

This section describes how to set up restrictions on operation of the fax. We will
first show you how to set up restrictions on sending documents, printing fax
reports and copying, and using the telephone. Then we will show you how to use
the fax with these restrictions on. Finally, we will show you how to turn these
restrictions off temporarily or make changes in the settings.

The table below is a brief summary of how restrictive codes and passwords are
used.

With a password

Every time you send a document, you
must enter a department code and
password.

Without a
password

Every time you send a document, you
only have to enter a department code.

With user access code

Every time you send a document, you
only have to enter a user access code.

No user access code

You can not send a document unless
you turn sending restriction OFF.

PRINTING
RESTRICTION

With user access code

Every time you make a copy or print a
report, you must enter a user access
code.

Without user access code

You can not print unless you turn
printing restriction OFF.

TELEPHONE
RESTRICTION

ON

You can not dial unless you turn
telephone restriction OFF.

Setting Operation Restrictions

You can create up to 99 department access codes (DACs) and passwords to
restrict sending operations on the fax. Follow this procedure to restrict access to
all of these features:

½ Sending documents
½ Copying documents and printing fax reports
½ Using the telephone for voice communication

1. Open the SYSTEM SETTINGS menu with your system settings password.
