Figure 4-49. Keywords for invoice numbers

Keywords can be single words or entire phrases. Both are searched with fuzzy logic
and are case-insensitive, so you don’t need to add keywords for all possible
variations or errors.

A keyword may be assigned a weight, which signifies how important or how
“strong” a keyword is. For example you may define “invoice number” with a weight
of 100% and “number” with 50%. Using these weights, if the Invoice Header Locator
finds “invoice number” next to a number, it will have a high degree of certainty that
this is in fact the invoice number.

However, if the phrase “invoice number” is not found because “number: ABC1234”
is used instead, ABC1234 might still quite possibly be the invoice number. Even so,
“number” might also indicate some another item like the customer ID, so it is not
certain that the locator has found the invoice number. This is expressed by assigning
a lower weight to this word.

Instead of individually entering a large number of keywords, you can use
dictionaries. For example you may have 2 dictionaries for invoice numbers, one with
“strong” keywords like “invoice number” and one with weaker keywords like
“number”. You can then assign the weights to the entire dictionary. That saves you a
lot of work when you want to change the weights and you can also import existing
text files with keywords.
